A trusted place for every open loop
The visual workflow makes the GTD habits of capture, clarify, organise, review, and engage easier to maintain.
Capture without sorting
Add an item to Inbox in seconds, then clarify it during a deliberate review.
Write real next actions
Turn vague projects into concrete, visible steps that can actually be completed.
Review what is stalled
Keep delegated work separate so a missing reply never disappears from view.

Next Actions
Specific physical or digital actions ready to do.

Mapping GTD onto the columns
Capture without judging
Anything that has your attention goes into Inbox immediately, unsorted. The cost of capture has to stay near zero or you will stop doing it, and an incomplete system is one you stop trusting.
Clarify to a next action
Emptying the inbox means deciding the very next physical action for each item, not restating the project. "Email Sam the draft scope" is actionable. "Sort out the project" is not, and will sit untouched for weeks.
Apply the two-minute rule
If clarifying reveals the action takes under two minutes, do it there and then rather than moving the card. Tracking it costs more than finishing it.
Use tags as contexts
Tag cards with the context they need, such as calls, errands, or deep work, then filter by tag when you sit down. Contexts are what turn a long list into the short list you can act on right now.
Protect the weekly review
Once a week, empty every inbox, walk the board, and confirm each active project has a next action. GTD fails at the review step more often than at capture.
Common questions
How does GTD work on a Kanban board?
Capture commitments in Inbox, clarify concrete Next Actions, track delegated items in Waiting, park non-current ideas in Someday, and archive completed work in Done.
Is this template free?
Yes. You can open the template without signing up and keep up to three boards free.
Can I add contexts and deadlines?
Yes. Use tags for contexts or projects, priorities for urgency, and due dates for time-specific commitments.
